OK - two issues here, I think. I've just gone into the database and can only see about 15 names that have not been passed, failed or sent. Am I doing something wrong, or is the backlog at the point where emails are being sent? I'm finding the process of look at email, write down salient points, check database, update database, email applicant, discuss w/ applicant, update database functionally impossible, but that may just be me.

Other issue is living up to that write-up, but that's a broader question.

Yes Haus, the backlog is all in the Gmail account. It seems the account has been unsubscribed from the Yahoo Group so we can't forward the applications over. I'm afraid I don't really understand this. The 'unsubscribed' thing is just something Fridge mentioned.

But yeah, the situation is quite serious. Fact is, applications since October 23rd last year haven't even begun to be processed, and we get new applications every day. It'll be quite a big job just to forward them over and log them in the database. The checking feels like the easy part at the moment.

In which case, is there a case for some sort of emergency process where erveryone signed up to the group gets (total number of applications / number of people signed up) forwarded to them by email, seeks single clarification and them forwards this to a central point - fridge or Tom - to add to the lists?

Yeah, I'd be up for something like that. Maybe we could first clear those who have applied using solid email addresses as per the agreed protocol, then divvy up the ones that remain for the web presence check.

Since we've agreed that we can work independently, it would be much easier to have a bunch of applications downloaded into a Mail app that one could sort and log and process in whatever way individuals want. The process in the Yahoo Group is a bit slow and awkward and gumption sapping.

Could we have a fast-track apps process for known Real People? I have a few friends hassling me/losing interest as the months pass. We're effectively closed at the moment.

The yahoo group thing I find quite difficult to use (due to work restrictions, only having ten or twenty minutes at a time online) but as of April I will have broadband at home *fanfare and choir like God descending from the Heavens DAN-DAAAH!* and can devote some time to this.

We need more people to help, and possibly an even simpler process if it's going to stay voluntary (which it has to).

I think we already have a de facto fast track process for known Real People. If established members know people that they can vouch for, I’ve been passing them on that basis alone.

Add them to the database and mark them as passed, Quant.
I wish more people would recommend friends.

Yeah, unless you have any doubts in which case call for a second opinion. That was the idea anyway.

Doesn't solve our immediate problem though, so since the Yahoo Group still isn't allowing the applications in, but we have some momentum, how about this:

When you've got some time, go through the Gmail inbox looking for applicants (since Oct 23rd) with acceptable email addresses. Take a note of them and archive the email. When that's done we can nominate someone to whom we'll send the addresses we've individually gathered, and that person can send them to Tom.

That will leave us with the people who need proper checking. We can then divvy those up as Haus suggested, or forward them to the group if the problem is fixed.

How's that for a plan?

Since that doesn't work, would people be happy with sending their emails to applicants from the barbelith gmail address? At least that way it'd all be in conversations so we'd know who had and hadn't been checked, it might be the most immediate (if not the best) solution if the forwarding is completely broken.

I think I know why it's broken and if someone can approve my membership but more importantly send me the password for the email account I might be able to fix it within 24 hours.

Right, I have the email information now, as soon as my Yahoo group membership is approved I should be able to forward the emails.

There are 2 problems:
1) you can set the email to forward automatically but the address is changed by the server. This means that the Yahoo group does not recognise the email address that it is receiving information from. Hence we have to forward it all manually.

2) someone on the yahoo group has to be a member with their email registered as the barbelith.apply account. Otherwise the email is not accepted because it doesn't belong to a group member. I will change this as soon as I am approved by Fridge to rejoin the Yahoo admittance group. At that point any of us can manually forward the emails. I suggest we start from the bottom up.

I would have had time to forward these emails tonight but no one has approved my membership. It is insane that only one person is an administrator of the Yahoo group and I suggest you change this tomorrow.

Right, I've deleted all of the spam, archived anything that's already been forwarded and forwarded recommendations for application from Gypsy Lantern and Bizunth to Tom along with a couple of enquiries (sorry Tom). This leaves us with a grand total of around 235 in the inbox I think.

If you have a reccomendation for someone who has applied since October PM me the name and I will send it directly to Tom with a note of the rec. We're passing those people automatically so sending them straight through seems sensible. This should bypass some (few) of our problems.

This thread has given me insomnia.

No there isn't a way, it's one of the problems with gmail that you can't select more than one message to forward at a time. You have to either use auto-forward or go into the individual message.

Mind you Microsoft Outlook is just as bad as it sends messages in one email as attachments. What is up with the people who design these things. Do they think their auto-forwarding is foolproof?

I was thinking about the database, Nina. ie. after the emails have gone through to the message section. I think Fridge said something about how to make multiple entries, but I can’t remember.

Yes but you need to take all the details down onto notepad first. I'm pretty sure you do it in the same way you'd do ten records.

What I'm thinking is this- I forward 19 emails a day. Everyone has a responsibility to get onto the Yahoo group, put one applicant in the database and email them on that day? Or maybe two a day instead.
